New guidelines and procedures for Conference Program Committee

Feb. 14, 2010 — The Executive Committee unanimously approved a new Guidelines & Procedures Policy for the Conference Program Committee.

Guidelines & Procedures
(Intended as guidelines to supplement the Conference Program Committee bylaws’ language, which is: “A Conference Program Committee, which shall be chaired by the Second Vice President and shall be responsible for the annual conference.”)
Conference Program Committee Chair – OWAA Second Vice President
Committee Members – Ex-Com, Section Chairs, OWAA Executive Director, OWAA Conference Planner.
Scheduled Meeting: Day of the nighttime Ex-Com meeting before annual conference. Committee should meet from 12 p.m. to 5 p.m. with a two-hour break prior to Ex-Com meeting.
Requirements/Expectations of committee members:
Each committee member should come prepared with at least five craft improvement or topic ideas and five potential seminar speakers, with alternates. Section chairs should query their members at least three months prior to the meeting. Ex-Com members should query members throughout the year for ideas and names.
During Meeting:
The Conference Program Committee will fill in the slots with potential speakers and session titles according to the conference template approved by the board of directors at its June 17, 2009, meeting (25 percent writing, 10 percent photography, 20 percent electronic/technology, 20 percent business and 25 percent broadcasting (movies, radio, television, video and Internet).
Craft improvement sessions should emphasize a “hands-on” approach, rather than a lecture.
Section chairs: If a Section chair can’t make the face-to-face meeting, then he/she must submit a list with speakers/session titles and alternates to the Conference Program Committee chair two weeks in advance of the meeting.
After Meeting:
Conference planner will contact list of names, confirm speaking engagements and travel/accommodations arrangements if needed.
OWAA Web site:
Put up a survey/suggestion form that lets members give their opinion on topics, speakers and desired conference sites.
